Ocean Consulting Limited (Ocean) is a registered data controller in the United Kingdom for the purposes of the Data Protection Act 1998 and the General Data Protection Regulation (GDPR) 2016.

This page describes our practices in connection with the personal data you provide and how we use it.

We believe completely in equal opportunities and will treat all applicants fairly with no discrimination.

We never knowingly provide misleading information about the nature of the role.  We would never charge a job seeker a fee for the purpose of finding them a role.

We are committed to managing your personal information securely and with respect in accordance with the General Data Protection requirements.

Why does Ocean hold and use my data?

Ocean stores the personal data of clients and candidates to fulfil our role as a recruitment consultant. We need your personal data to find you job opportunities and understand your eligibility for those roles. As a client we need to store your contact information, so we can communicate with you. This legitimate interest is the legal basis under which we process your data.

What data does Ocean store?

Ocean only processes data that is necessary to facilitate the recruitment process. That will include your name, email address, telephone number, address, CV and work history. We do not store sensitive personal data like racial or ethnic origins, political views, religious beliefs or health information.

How does Ocean use my data?

We only use your information to facilitate the recruitment process and internally to improve our service or inform our strategy.

How and when will Ocean contact me?

We may contact you by telephone, email and SMS. Some examples of when we will contact you; to arrange and conduct an interview with us, to ask questions on behalf of our clients about your work history and career aspirations, to arrange interviews with our clients, to keep you up to date during the recruitment process, before we put you forward for a new role, to answer any correspondence from you and after you have been placed to get ongoing feedback.

Where does Ocean get my data?

The data we collect comes directly from you in person, by telephone and from our website forms, from publicly available sources like professional networking sites or job boards where you have published your information, and from word of mouth referrals and recommendations.

Where does Ocean share my data?

We only share your information to fulfil our obligations to you and always with your explicit consent.

You will be asked for your consent before we share your CV with a client (independent data controllers). We will ask again if you are successful and we need to share your contact information to begin the client’s employment process. We will also share your data when required by law or to respond to legal process; to protect our clients; to protect lives and to maintain the security of our other candidates.

How long do you keep my data?

Ocean will normally keep your personal data for two years, but you can ask us to delete your personal data at any time subject to legal restrictions.

  • We keep your personal data for one year after the last action we make for your job search
  • We keep your personal data for two years from the date we place you in a temporary, contract or permanent role
  • We keep your payroll records for six years in line with HMRC guidelines
  • Client contact information is retained for three years after our last contact

You can have your information deleted at any time by making a request under your rights below.

What are my rights over my information?

You have the right to be informed what personal data we hold about you and access a copy of that data.

You have the right to request any inaccurate data we hold about you be corrected.

You can refuse to provide us with data and ask that any personal data we hold about you is deleted.

You have the right to object to how we use your data, request that we stop or restrict how we process your personal data under some circumstances.

We do not generally transfer your data outside the EEA but will use appropriate safeguards if we do.

We require you to provide us with proof of your identity and answer security questions before we will process your request. This data will not be kept beyond the fulfilment of your request.

Please consider your request responsibly, we will normally deal with any request free of charge but may charge an administrative fee for baseless requests, further copies of the same information or repeated requests.

Ocean will respond to your request within ten working days and let you know how long your request will take to complete.
